Contact Rate Chaos: What’s Wrecking Your Sales and How to Fight Back

Today In 5 Minutes Or Less (TLDR):
🔒How to Stop Wasting Money and Double Your Contact Rate, Read This Before You Fire Anyone🔒
Dear Insurance Champions,
Your dials are up, but the quotes are flat. Marketing costs keep climbing. You’re grinding your team, but nothing feels predictable. Before you slash your lead budget,or worse, start firing, let’s have some real talk about fixing the only number that really matters: your contact rate.
The Brutal Truth
You can’t sell a policy to someone you never reach.
Contact rates are tanking because of iOS/Android call screening and recycled phone numbers.
Most agents react emotionally instead of methodically, cutting leads, switching systems, blaming callers, and making things worse.
What Actually Moves the Needle
Consistency wins. Jumping from vendor to vendor or lead type to lead type muddies your data. Stick with your process long enough to see what’s really broken.
Track your contact rates ruthlessly. If you’re seeing 3-10%, you’re burning cash. Properly managed lines should get you up to 20%,that’s 2x the contacts, for the same spend.
Stop blaming your team. In 2024, even a rockstar agent can’t sell if the phones aren’t ringing, not enough contacts, no sales.
If you’re using dialers, check your lines. One “burned” number, flagged as spam, lawyer, political, kills your answer rate overnight.
How to Fix It (Steal Our Playbook)
Buy enough phone numbers so no number exceeds 25 dials per day. If you have 10 callers, you could need 250-500 lines.
Run YOUR phone numbers through an audit tool. See what prospects see, don’t call from anything marked as spam or unrelated business.
Register your numbers with all the carriers (Verizon takes 30 days; don’t skip this).
Don't mass-delete and rebuy numbers, they’re probably “burned” by someone who already gave up.
Don’t pull every lever at once. Change one thing at a time so you can track cause and effect.
Always use callers to activate leads and tee up your sales agents. Callers cost a fraction of sales agents and massively boost morale (and commissions).
Big-Picture Takeaway
Creating a winning agency is about building a machine, not hunting unicorn producers. Get your process right, feed your team contacts that pick up the phone, and watch your sales per producer surge, no unicorns required.

Building Trust and Using AI in Scaled Insurance Agencies
If you’re running an insurance agency today, or thinking about what you’d do differently, there’s one thing you can’t ignore: how AI is shaking up the way we all do business. When you’ve got an agency with any kind of scale, or you’re working within a bigger captive system, leaning into AI isn’t just the smart move,it’s the necessary one.
But here’s the thing I’ve seen that makes all the difference: use AI where it truly works best, right up front. Let it help answer those first questions, filter out the tire-kickers, or take care of that routine busy work. When you’re dealing with hundreds (or thousands) of inquiries and quotes, AI helps you keep things running without driving your team into the ground.
Let’s not kid ourselves, though, there are hiccups. We’ve all been those frustrated customers or agents, stuck when the system doesn't get it. But every agency I’ve seen really crushing it with AI is ready to bring in real humans for the moments that actually matter. And that’s the piece most people miss. When the situation gets complex, those high-value, high-emotion, high-stakes cases, that’s when you bring your human team to the table. That’s when our real value shines through.
So if you’re building your book today, focus on doubling down where humans matter most. Complex coverage questions, emotional claims, sensitive life moments, or those nuanced commercial accounts… that’s where you create loyalty and real relationships. People aren’t just looking for another faceless agent. Especially as more of our industry gets automated, a real person who genuinely cares, who listens, who solves the real problems, that’s going to be worth more than ever.
Trust is not going out of style any time soon. Machines can answer questions, but they don’t build trust. Your clients need to believe you’re a real person on their side, not someone just trying to close the next deal or, worse, scam them. As the tools we use become more advanced, the human relationships at the core of our business become even more essential. That’s where we win, and where we stay relevant, no matter how smart the AI gets.
